DTS Co., Ltd. (hereinafter referred to as "the Company") is a total system integrator that provides one-stop IT services from consulting to system design and development, infrastructure construction and operation. We consider the appropriate handling of personal information to be a social responsibility, and based on the "Act on the Protection of Personal Information" and the "Requirements for Personal Information Protection Management Systems (JIS Q 15001)," we have established the following personal information protection policy and will comply with it.

Our company has appointed a person responsible for handling personal information and will implement appropriate management regarding the acquisition, use, and provision of personal information.
- When acquiring personal information, we will clearly state the purpose of use to the individual and obtain their consent, except in cases stipulated by law or when the purpose of use has been publicly announced.
- When using personal information, we will only use it within the scope of the stated purpose and will take measures to prevent its use for any other purpose.
- If we receive personal information from a client in the course of performing services on their behalf, we will use it only within the scope of the contract, memorandum of understanding, etc.
- If the work outsourced to an external party involves personal information, we require them to manage it in the same way as our company, through contracts, memoranda, etc.

Our company complies with laws and regulations concerning personal information, national guidelines, and other standards.

Our company takes preventative measures against leakage, loss, damage, etc., of personal information, and in the event of any such incident, we will take prompt corrective action.

Purpose of use
- Personal information received from customers and other business partners will be used in accordance with regulations for fulfilling obligations related to transactions, exchanging information, and for business communication. (However, personal information that we indirectly receive as a result of being entrusted with business is not considered retained personal data.)
- Shareholders' personal information will be used to respond to shareholders' exercise of their rights under the Companies Act and other relevant laws and regulations, and to fulfill our obligations.
- Personal information of applicants collected during the recruitment process will be used solely for recruitment purposes.
- Personal information concerning employees (including their families) will be used for human resources management and related purposes.
- Personal information of former employees will be used for providing company information and other purposes related to managing former employees.
- Other personal information that has been notified to and agreed upon by the individual in advance will be used for that purpose.

Regarding measures taken for safety management
At our company, in order to appropriately handle personal information and retained personal data, we have established a personal information protection policy in accordance with the "Act on the Protection of Personal Information" and the "Requirements for Personal Information Protection Management Systems (JIS Q 15001)," formulated personal information protection regulations, etc., and operate a personal information protection management system after understanding the external environment. Furthermore, when actually handling personal information, we take security management measures from four perspectives: organizational, human, physical, and technical.

To request disclosure of personal information, please download our prescribed form, fill in the required information, enclose the necessary documents and reimbursement for actual expenses, and send it by mail (registered mail, certified mail, or any other method that provides proof of delivery) to the address listed in "5. Contact Information for Disclosure Requests" below.
Please note that, in order to ensure the verification of the applicant and their representative, we cannot accept requests submitted by any method other than postal mail.

4. Fees
If you request disclosure of personal information, a fee will be charged per request as follows. Please enclose postage stamps equivalent to the amount corresponding to the type and number of disclosure requests with the necessary documents and mail them to us.

*If the processing fee is not included or is insufficient, we will, in principle, contact you at the address listed on the invoice. However, if payment is not received within 30 days of the contact, we will treat the disclosure request as if it had never been made, effective the following day. Please be aware of this in advance.

6. Method of responding to requests for disclosure, etc.
If you request disclosure, we will disclose the information using the method you specify in the Personal Information Disclosure Request Form. However, if disclosure using the specified method is difficult, we will notify you of the reason and disclose the information in writing. For requests other than disclosure, we will respond in writing. Written disclosures and responses will be sent by registered mail to the address provided by the requester (the individual concerned).
*Personal information obtained when you make a request for disclosure, etc., will not be used for any purpose other than responding to your request.
*Submitted documents will not be returned. (They will be promptly and properly disposed of after the procedure is completed.)
7. Cases where disclosure, etc., is not performed.
Requests for disclosure of personal information or records related to provision to third parties will be refused if any of the following conditions A. through I. apply. If disclosure is refused, we will notify you of this fact along with the reasons.
- A. If the personal information requested for disclosure or the record of provision to a third party does not exist at our company.
- B. In the case of a request made in a manner not prescribed by our company.
- C. If there are deficiencies in the information provided in the prescribed form.
- D. If the claimant cannot be identified
- E. When an application is made by an agent, the agent and their authority cannot be confirmed.
- F. If the existence or non-existence of the personal data or the record of provision to the third party becomes clear, the following risks may occur.
- a. Anything that may endanger the life, body, or property of the person concerned or a third party.
- b. Anything that may encourage or induce illegal or unjust conduct.
- c. Anything that could endanger national security, impair relations of trust with other countries or international organizations, or cause disadvantages in negotiations with other countries or international organizations.
- d. Anything that may hinder the prevention, suppression, or investigation of crimes or the maintenance of public safety and order.
- G. In cases where there is a risk of significantly hindering the proper conduct of our business.
- H. Cases where disclosure is not permitted by law.
- I. Other cases where the requirements for your request as stipulated in the "Act on the Protection of Personal Information" are not met.
For requests other than disclosure, we will not be able to respond if they fall under any of the above categories B. to E. or I. Furthermore, even if the requirements for your request are met, we may take alternative measures in accordance with the "Act on the Protection of Personal Information" to fulfill your request. If we are unable to respond to your request, we will notify you of this fact, along with the reasons.
